We are seeking an experienced and driven B2B Coordinator/Executive Assistant to execute the day-to-day activities required to deliver training, workshops, and speaking engagements to a diverse audience of government, nonprofit, and corporate clients and leading the logistics behind RHQ’s B2B deliverables. The B2B Coordinator/Executive Assistant is responsible for supporting the Executive Director through calendar management, scheduling for personal appointments, and prioritizing scheduling needs. Responsibilities: Execute day-to-day activities required to deliver training, workshops, and speaking engagements to a diverse audience of government, nonprofit, and corporate clients Organize meetings and coordinate schedules between Executive Director, B2B clients, select B2C clients, and vendors Serve as key point of contact for all incoming and ongoing B2B tactical inquiries Provide tactical support and assistance before, during, and after training, workshops, and speaking engagements Setting up and distributing zoom meeting links Providing attendance reports and recordings Helping hosts/attendees resolve tech problems in real-time Updating training/presentation documents in real-time as needed Providing survey and feedback links and relaying feedback to operations/ED Attend pitch and discovery meetings, taking notes and supporting development of proposals Cultivate and maintain relationships with new and current B2B clients through regular communication and consistent follow-up Research and hold knowledge around body of past B2B work to support Executive Director in project roadmaps Maintain close contact with clients in the pre-delivery phase, ensuring emergent needs are met prior to engagement date(s) Managing the setup, distribution, and payment for training CEUs Support Executive Director in designing and maintaining training day schedules based on number of attendees and allotted time Distribute training materials to B2B clients and co-facilitators prior to trainings, ensuring that all materials are accurate and presentation-ready Coordinate training/schedules with co-facilitators and actors, accurately documenting co-facilitator/actor time for payroll Tracking scope of work deliverables in multiple concurrent projects to ensure timely and accurate invoicing Personal Characteristics: Self-starting, awareness of what needs to be done before it is asked Multitasking with ease and adjusting as new demands are added Exceptional organizational skills, admiration for intense detail Comfortable and curious about learning new skills Seeks help when necessary and has well-established process for independent learning Warm, confident attitude, able to interact well with professionals from all backgrounds Analytical and innovative problem-solving skills Self-reflective and open/values constructive feedback Proven track record of success setting and achieving ambitious goals Action-oriented and able to thrive in a fast-paced, entrepreneurial environment Comfortable working independently Humble and willing to do whatever is needed to support the organization’s goals Qualifications: · Bachelor's degree in Business Administration, Marketing, Communications, or a related field required · 3+ years of administrative support, including scheduling, managing, and maintaining multiple calendars required · At least 1 year of customer service experience required · Must have working knowledge of B2B sales cycle, RFP, and proposal process · PMP or other project management certification preferred · Experience with government contracting preferred Our Equal Employment Opportunity statement: Relationship HQ is an equal opportunity employer.
